A timeline that actually works
September and October. Pick the week and lock the date. This is when most Wichita companies decide, and the Friday and Saturday evenings in the first three weeks of December are the first to go. A date can be held before the rest of the plan exists.
Late October. Confirm headcount and catering. Food and beverage runs through an approved vendor who bills you directly, so this is a conversation with the caterer rather than a venue package you have to accept.
November. Decide what the room becomes. If you want your own year-in-review numbers, team photos, award slides or branding on the wall and floor, this is the point to send material. Custom environments need the most lead time, and this is where booking early pays off.
The night itself. Our operator runs the room, so the transitions happen on cue and nobody from your team spends the party behind a laptop. The environment can change between the arrival hour, dinner, the awards and the last stretch of the night without anyone moving anything.
